At ApexOn ("we", "our", "us"), we respect your privacy and believe in being transparent about how we handle your data. This Privacy Policy explains how we collect, use, and disclose information when you use our Services, which include our Apex Keyboard application (the "App") and our website https://apexon.app (the "Site"). By using our Services, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
We collect information to provide and improve our Services to you.
1.1. Information You Provide
We collect information you directly provide when you use our Services. This includes basic profile details from social logins, such as your email, name, and avatar, when you sign in via Google or Email Magic Link. You may also use certain features of the App without creating an account (guest mode). In such cases, your content and settings are stored locally on your device and are not synchronized across devices unless you sign in.
We also collect user-generated content, which includes text you explicitly select or submit for AI processing (e.g., for Grammar & Clarity, Translation, or Rewriting), and your multi-turn conversation history within the Chatbot, which is automatically stored locally on your device to support continuity of conversations. We do not collect or store everything you type, and we do not record keystrokes or monitor typing activity in the background. Additionally, we store your User Dictionary and Snippets - custom words and text shortcuts you manually add to personalize your keyboard. Your content is private by default, not viewable on the Internet or accessible to other users unless you choose to share it. We may keep records of your communications with us (e.g., support inquiries or website form submissions) and any other information you voluntarily provide.
1.2. Information Collected Automatically
We collect information about how you interact with our Services, such as the frequency of AI requests, the most-used keyboard features, and your interactions with system notifications. We do not track or store your activity across other applications. The App may use real-time input context (such as input field type) processed locally on your device to adjust keyboard behavior and suggestions. This information is processed in real time and is not stored. This data is used to improve feature performance and user experience. We also use cookies on the Site, and SDKs or similar technologies in the App to gather data about your interactions, track usage patterns, remember preferences, and measure campaign effectiveness.
Clipboard Monitoring (Optional): When clipboard history is enabled in settings, the App monitors system clipboard changes to automatically save copied content for quick access. This monitoring occurs continuously while the feature is enabled, even when the keyboard is not visible. You can disable this feature at any time in App settings. The App automatically excludes clipboard content from sensitive fields (passwords, OTPs, payment information).
App Detection for Data Control: To provide enhanced privacy protection, the App detects which application you are currently using (via its package name only, not app content) to automatically disable AI features and clipboard history in sensitive apps you have added to your privacy blocklist (e.g., banking apps, password managers). This detection happens locally on your device and the package names are not transmitted to our servers.
1.3. Information from Third Parties (with your consent)
We receive certain information from third-party services that you choose to use with our services or that help us provide our functionalities. This includes profile details like your name, email, and avatar via social logins (e.g., Google). For purchases, your payment details are processed through the Google Play Store billing system. We use RevenueCat only to manage subscription status and records. We do not have access to your full payment details but we keep a record of your purchases for subscription management and accounting purposes. We also use third-party analytics tools (such as Google Analytics for Firebase) to understand general usage patterns and improve the Service. These tools may collect device information, usage data, and performance metrics, which may be considered personal data under applicable laws. Please note, this Privacy Policy covers data we process directly; we are not responsible for the privacy practices of other third-party websites or services you encounter, and we encourage you to review their policies.
1.4. Permissions Requested
The App may ask for specific permissions on your device to enable core functionalities. These include:
- Keyboard Access: Required to enable the custom keyboard and provide AI-powered writing assistance within supported apps.
- Microphone Access: Used only when you actively use voice input features.
- Spell Check Access: Used to provide spelling suggestions and improve writing accuracy.
- Notifications Access: Used for alerts and system updates.
- Query All Packages: Used to detect the current active app to apply privacy-sensitive blocklists (e.g., disable AI features and clipboard history in banking/password manager apps). This is required for the Data Control feature.
2. How We Use Your Information
We use collected information to operate, maintain, and improve our Services, provide functionalities and manage your account. We may also use your information for communication, sending you important system notifications, updates, reminders, and, if you've opted in, marketing and promotional content. We also analyze how users interact with our Services for troubleshooting, identifying popular features, and optimizing overall user experience. Additionally, we process information as necessary to comply with applicable laws, app store policies, and legal obligations.
3. Data Sharing and Disclosure
We do not sell your personal data, but we may share it under specific circumstances. We use trusted third-party service providers to perform functions on our behalf, including AI technology, database hosting, and other operational support; these providers are contractually obligated to protect your information and process it only as necessary to provide services to us.
To provide AI-powered features within the App, certain user-submitted content is transmitted to Google Gemini AI, a service provided by Google LLC (United States). Data transmitted for AI processing is handled in accordance with Google's applicable terms, privacy policies, and security standards.
We only transmit the necessary content required to generate the AI response you request, and only when you explicitly use AI-powered features.
AI processing occurs only when you choose to use these features. This may include:
- Text you select, highlight, or type within a text field specifically to utilize our AI Assist tools, such as Grammar & Clarity, Rewrite, or Shorten/Expand.
- Transcribed text generated from your voice input when using the Speech-to-Text (STT) feature.
- Multi-turn conversation history and messages you submit with AI Chatbot.
- Limited contextual information necessary to process your request, such as input field type (e.g., email, search, or messaging), may be used. This information is primarily processed on your device and is not used to track your activity across other apps.
- Your selected AI personalization settings, such as your target translation language, preferred writing tones, and other custom instructions used to tailor the AI's responses.
4. Data Security
We implement appropriate technical and organizational measures to safeguard your personal data from unauthorized access, use, or disclosure. While no method of transmission over the Internet or electronic storage is completely secure, we continuously work to protect your data through industry-standard practices. These include encryption, secure storage, strict access controls, and regular security reviews. Some of our infrastructure and trusted service providers may be located in other countries, which means your information may be transferred to and processed on servers outside your country of residence. We rely on reputable partners and industry-standard safeguards to help ensure your data remains secure and protected. Where required, we apply appropriate safeguards for international data transfers.
5. Data Retention and Deletion
We offer clear options for data retention and deletion. You can permanently delete your account through our App's settings. Once you submit a deletion request, your account and all associated data will be permanently deleted immediately and cannot be recovered. This includes your user-generated content, metadata, account settings, and data stored within our systems associated with your account. Please note that once the deletion request is confirmed, you will no longer be able to restore your account or access any of your data. AI request data is processed temporarily and is not stored, except for AI chatbot conversations, which are automatically stored locally on your device, and is not transmitted to our servers. Data processed by third-party AI providers may be subject to their respective retention policies. You may also delete your saved items within the App at any time.
6. Your Choices and Rights
You have clear control over your information within our Services. You can access your profile through your account settings and manage notification settings directly within the App or through your device settings. You may also permanently delete your account using the "Delete Account" option.
You can manage permissions such as microphone access and notifications through your device's operating settings. Please note that disabling certain permissions may affect some App functionalities, such as speech-to-text or context-aware keyboard features.
You may opt out of marketing communications at any time by following the unsubscribe link in those emails or by contacting us directly. However, we may still send you non-promotional messages, such as account or security notifications.
If you are a resident of the European Economic Area (EEA), you have rights under the General Data Protection Regulation (GDPR), including the right to access, rectify, erase, restrict processing, object to processing, and data portability.
If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA) and California Civil Code Section 1798.83, including the right to request information about how your personal data is collected, used, and shared. California residents under 18 who are registered users may also request the removal of content or information they have publicly posted under California Business and Professions Code Section 22581.

7. Children Usage Restrictions
Our Services do not address anyone under the age of 13. Protecting children's privacy is important to us. We do not knowingly collect or keep personal information from anyone under 13 years old, and no part of our Services is designed to attract users under that age. If we find out a user is under 13, we will take steps to remove their personal information from our databases and stop them from using the Services.
